Planning an event comes with lots of questions—and we’re here to help. Below you’ll find answers to our most commonly asked questions. If you don’t see what you’re looking for, we’d love to connect.
Location & Travel
Where are you located?
We’re located in the heart of Saint Charles County, conveniently situated in Saint Peters, Missouri—right off Highway 94, just past Mid Rivers Mall Drive.

We’re approximately:
- 15 minutes from Chesterfield Valley
- 15 minutes from Main Street Saint Charles
Our location offers the convenience of being in town with the peaceful feel of the countryside.
What about lodging for guests?
We are partnering with:
- Embassy Suites in St. Charles
- Residence Inn in O’Fallon
Both hotels are within 10–12 minutes of the venue.

Wedding Details & Capacity
How many guests can we invite?
Willow Haven can accommodate up to 375 guests.
If I get married in a church, can I still rent the venue just for the reception?
Absolutely. The venue is yours for the entire day. You’re welcome to use the Bridal and Grooms Suites in the morning, leave for your ceremony, and return for your reception. How you use the space is entirely up to you.
What time does the reception have to end?
All events must conclude by 10:00 PM and be cleared out by 11:00 PM.
Rental Hours & Access
What are the rental hours?
Your rental includes exclusive access to the venue from 9:00 AM – 11:00 PM.
We ask that you confirm your arrival and end times at least two months in advance.
Early access for setup is available for an additional $100 per hour, pending availability.
You will also have access to both the Bridal Suite and Grooms Suite during your rental time.
Can we set up the day before the wedding?
Setup access is available on the day of your rental only.
You may rent the day before or after your wedding—please refer to the pricing section for details.
Do you offer rehearsals at the venue?
Yes! We include a one-hour rehearsal on Thursday evenings:
- Saturday weddings: 5:00 PM
- Friday weddings: 6:00 PM
- Sunday weddings: 7:00 PM
If we do not have a Friday booking, rehearsals may be moved to Friday, pending availability.
Catering & Bar
Do you provide catering?
YES – We have some amazing partners you can work with for your event.
- Championship Catering offers a wide variety of reception items!
- Jr’s Taco’s is amazing for your Mexican needs!
- SugarFire is perfect for any BBQ you are looking for
We can connect you will all 3 to answer any questions you may have.
Can we bring in our own catering?
Yes. Outside catering is welcome with a $750 buyout fee.
Please note: the venue includes a serving kitchen only—there is no on-site cooking kitchen.
Do you offer bar service?
Yes! We proudly partner with Good News Brewing to provide all beverage service for events at Willow Haven.
This service is exclusive, and no buyout option is available.
For everyone’s safety and enjoyment, we reserve the right to refuse service when necessary.
Vendors & Services
Do you have an in-house DJ?
We do not have an in-house DJ, but we’re happy to recommend trusted professionals we’ve personally worked with and love.
Do you have floral recommendations?
Yes! We work with two wonderful floral partners and are happy to connect you.
Do you offer a wedding planner?
A wedding planner is not included with the venue rental. However, we offer:
- A comprehensive wedding checklist (created from real wedding experience)
- Digital copy available starting at $150
If you’re looking for full-service planning, we work with several amazing wedding planners and are happy to provide referrals.
Policies & Insurance
Is event insurance required?
Yes, Special Event Liability Insurance is required. We’ll help you connect with a trusted provider to make this easy.
Are we responsible for cleanup?
We will have some wonderful staff there to take out the trash, but it is your responsibility to remove all decorations you came with that day.
Are there any house rules?
- No smoking or vaping in or within 20ft of the building.
- No drugs or marijuana allowed on the property at all. If found (or smelled) you will be removed from the property.
- You CAN bring your own food or drink in the Bridal Suite and/or Grooms suite during the day prior to the event. None once the event has started.
- No fireworks; supervised sparklers are allowed outdoors for send-offs.
- No outside activity after 9:00 PM.
Tours & Availability
Do you offer tours?
Yes—we’d love to meet with you. While the building is currently under construction, we offer virtual consultations and walkthroughs using photos, renderings, and plans.
Tours are by appointment, and we’ll do our best to accommodate your schedule.
pRICING
What does pricing look like?
Pricing varies by season. We’re currently offering a pre-launch booking incentive for our first 10 weddings:
- Save $1,000 on Saturdays
- Save $500 on Fridays
(Deposit required to secure discount)
Base pricing:
- Friday: $7,000
- Saturday: $10,000
- Sunday: $6,000
- Full weekend (Fri–Sun): $18,000
25% is due at booking, with 10% of that amount refundable.
All pricing is subject to seasonal adjustments.
